Coordinate a bulk import with the Advocora team. The platform’s import administration is not a normal customer-facing screen.

Prepare the files

  1. Export contacts, individuals, addresses, communication methods, and gifts from your current system as appropriate.
  2. Keep stable source IDs so gifts and people can be linked to the correct household or organization.
  3. Identify which rows are households, organizations, and foundations.
  4. Preserve separate first/last names, email and phone details, primary indicators, and recorded communication preferences where available.
  5. For gifts, retain the donor reference, amount, date, payment method, account/designation, and external transaction reference.
  6. Document date formats, currency, blank-field meanings, and any recurring-gift or membership data that needs special handling.
Do not create replacement IDs by sorting rows or using spreadsheet row numbers. Keep an unchanged copy of your original export.

Arrange the import

Use Get support to describe the source system, approximate record counts, and desired timing. Ask the team to confirm the mapping and an approved transfer method before sending supporter data. Do not email payment-card information or system passwords.

Validate the result

After the import, compare agreed counts and totals, open a sample of contacts and gifts, and check household membership, dates, designations, and opt-in status. Report differences before your team begins editing the imported records. Use Contact Merge only after deciding whether records are actual duplicates.
